Responding to Negative Reviews
Bad reviews happen to good contractors. What decides whether one costs you jobs is the reply underneath it. A calm, well-handled response can turn an upset customer into a believer — and show every prospect reading that you are the kind of company that makes things right.
How We Handle a Bad Review
Most contractors do one of two things with a negative review: ignore it, which reads as guilt, or argue it, which reads as combative. Neither wins back the prospect who is watching. Here is the system we run instead.
The Reply Is Read by Everyone But the Reviewer
A single negative review feels like a disaster. Handled well, it is often more persuasive than a wall of five-star ratings, because prospects do not just count your stars. They read how you answered the one unhappy customer, and they decide from that whether you are a company that owns a problem or ducks it.
The reply is not really for the person who left the review. It is for the next homeowner deciding whether to call you. That is why the goal is never to win the argument. It is to look like the calm professional the prospect wants to hire.
We can’t make a real review disappear, and we won’t fake one away.
A genuine negative review cannot be removed, and anyone promising otherwise is selling fake reviews or false hope. What we can do is respond so well that the review works in your favor, and get the truly fake or policy-breaking ones flagged the right way.
Four Steps, Every Time
Acknowledge
Within a day, a brief public reply that thanks them for the feedback and takes the experience seriously, without admitting legal fault or arguing the details.
Take It Offline
We hand them a direct contact and move the specifics off the public page, where a visible back-and-forth only ever makes things worse.
Resolve
We help you make it right, then note what happened so the same issue does not generate the next one-star.
Follow Up
Once it is resolved, we ask whether they would update the review. It is not guaranteed, but a customer you have satisfied often says yes.
Negative Reviews, Answered Straight
Yes, calmly and quickly. Silence reads as guilt to the people deciding whether to hire you, and the reply is really written for that next prospect, not just the reviewer.
Only if it breaks the platform’s rules, meaning it is fake, off-topic, or defamatory, and we handle that flag process for you. A genuine negative review cannot be removed, but it can be answered in a way that works in your favor.
Not in public. Arguing the facts in a review reply almost always backfires with the prospects watching. We acknowledge briefly, move it offline, and handle the dispute privately or through the platform.
Sometimes. Once an issue is resolved offline, a polite, well-timed ask often gets the customer to update or remove the review. It is not guaranteed, but it is a real and common outcome.
Within one business day. Speed matters, because a fast, professional reply signals to everyone reading that you stay on top of your business and your customers.
